This position assists in a variety of diverse legal, administrative and technical land support functions. Responsibilities: Set up, organize, and maintain manual and digital land record files; including legal files, well files, prospect files, and title files. Perform various data entry tasks within a variety of data bases. Distribute all correspondence the department receives. Serve as point of first contact for all general incoming communication and distribute accordingly Assist in preparation of correspondence and contracts, form transmittal’s, check requests, oil and gas leases, assignments, well proposals, rights of way, surface use agreements, applications, permits as necessary, and other associated contracts, along with transmitting those documents. Track elections on proposals, invoices for leasehold, drilling and completion costs. Receive, file, and transmit to land administration, lease assignments, oil and gas leases, joint operating agreements, etc. Conduct research in order to obtain the curative documentation needed for each lease file by obtaining copies of probates, deed copies, heirships, requesting information from County Courthouse records, and locating copies of leases within the drilling unit. Also using Nexis Lexis and other online databases to find addresses. Help create database used for mass mailings and facilitate those mailings along with reporting the results of those mailings to the landsman. Keep track of incoming Oklahoma Corporation Commission forms sent to us in an excel database. Coordinate and facilitate communication with multiple groups and disciplines internal and external. Back-up front desk when needed. Other Duties as assigned. Knowledge & Skills: Strong interpersonal and written communication, organization, consultative, record keeping, analytical and problem solving skills are required. Must be willing to participate in a team setting with strong communication skills. Education: Prefer bachelor’s degree, but other degrees may be acceptable. Two+ (2) years of relevant work experience will be considered as well. Experience: Proficiency desired in Microsoft Word and Excel, Adobe Acrobat, Lexis Nexis, Drilling Info, IHS, Oklahoma Corporation Commission structure, rules and regulations.
